Revolutionizing Veterinary Documentation: dbSeer and Petvisor Scribe Application

dbSeer partnered with Petvisor, a leading tech company serving thousands of veterinary hospitals, to enhance their Scribe App. By harnessing the power of AWS technologies and Anthropic’s Claude model, we optimized the documentation process for veterinarians, making it more efficient, accurate, and seamless.

The Challenge: Documentation Burden in Veterinary Care & Follow-Up With Appointments

Veterinarians spend a significant portion of their day creating detailed documentation after each pet visit, often struggling to efficiently manage patient follow-ups and scheduling. According to the American Veterinary Medical Association, technology can help veterinary practices in many ways, ranging from streamlined notetaking to intelligent appointment management. Identifying the critical need to reduce administrative burden and improve patient care coordination, Petvisor developed an application for their veterinarian clinics called Scribe. Recognizing dbSeer’s ability to enhance the application by incorporating the latest AWS technologies, Petvisor chose dbSeer as its preferred partner on this journey.

The Solution: Offering Scribe AI-Powered Documentation Automation

The Scribe application addresses the challenge of documentation through an elegant workflow:

  1. Recording: Veterinarians use the Scribe app on their phone to record the entire visit, capturing all conversations between the vet, pet owner, and any technicians involved.
  2. Cloud Processing: Once the visit concludes, the vet submits the recordings, which are securely stored in AWS S3 buckets.
  3. Transcription: The system processes these recordings using AWS Whisper to convert audio into text transcripts.
  4. AI-Generated Documentation: The text is then processed by AWS Bedrock using Anthropic’s Sonnet Claude model to generate two types of documentation:
    • SOAP (Subjective, Objective, Assessment and Plan) Notes: Tailored for the veterinarian team, SOAP notes provide comprehensive medical documentation for their office records. SOAP notes have everything ranging from the reason for the visit to treatment plans.
    • Summary Notes: Tailored specifically for the pet owners, these notes translate complex medical details into clear, accessible language. These detailed follow-up instructions not only provide transparency about the pet’s health but also significantly reduce the likelihood of missed appointments by giving owners a precise roadmap for future care. By creating a user-friendly reference that pet owners can easily understand and reference, the documentation dramatically increases patient compliance and engagement with recommended treatment plans.

Creating these comprehensive documents manually is time-consuming, pulling veterinarians away from what they do best—providing care to man’s best friend.

The Architecture: How It All Works

The Scribe App seamlessly integrates multiple AWS services to manage data storage, processing, transcription, and AI-driven note generation.

1. Data Storage & Event Processing

  • AWS S3 (Simple Storage Service)
    • Stores recorded audio files securely.
    • Ensures durability and availability, allowing seamless retrieval for processing.

2. Speech-to-Text Processing

  • Whisper AI
    • Converts veterinary visit audio recordings into accurate, structured text.
    • Handles medical terminology effectively, improving transcription accuracy.

3. AI-Powered Document Generation

  • AWS Bedrock & Anthropic Claude Sonnet
    • Uses a foundation AI model to process transcriptions and generate structured SOAP and Summary notes.

4.  Scalable and Distributed Architecture

  • AWS SQS
    •  All messages from the UI to the Scribe AI application are sent and received over SQS queues to facilitate decoupling and a scaling microservices architecture.
